Administrative Assistant Duties:-
- Welcome Mecca visitors and answer any questions or concerns
- Collecting, organizing, and storing information using computers and filing systems.
- Take Board, Executive and committee meetings minutes, type and share them
- Create and manage the daily, weekly and monthly calendar for all Mecca programs
- Create PowerPoints presentations as needed
- Update the Mecca App
- Answer and direct phone calls
- Organize and schedule meetings and appointments
- Maintain Community contact database
- Produce and distribute correspondence memos, letters, and forms
- Manage Membership file (application and dues)
- Develop and maintain a filing system
- Assist with Sunday School Registration as needed
- Assist Quran Blossoms with communications with parents as needed
- Manage bulletin board
- Assist the accountant with donations, pledge follow ups and thank you letters
- Assist the communication director with the internal/external communication
- Help with the annual fundraising dinner
- Manage and update the committees list
- Ensuring office is stocked with necessary supplies
- Follow up with emails, letters, and phone call for late fees
- Help with recruiting volunteers
- Help facilitate all Mecca programs
- Translator for staff and visitors
- Receive, sort and distribute the mail
Qualifications:
- Proficient computer skills, including Microsoft Office
- Fluency in English and Arabic.
- Strong verbal and written communication skills
- Attention to detail and problem solving skills
- Comfortable with routinely shifting demands
- Working knowledge of general office equipment
- Strong organizational skills with the ability to multi-task
