Administrative Assistant Duties:-

  • Welcome Mecca visitors and answer any questions or concerns 
  • Collecting, organizing, and storing information using computers and filing systems.
  • Take Board, Executive and committee meetings minutes, type and share them
  • Create and manage the daily, weekly and monthly calendar for all Mecca programs
  • Create PowerPoints presentations as needed
  • Update the Mecca App
  • Answer and direct phone calls
  • Organize and schedule meetings and appointments
  • Maintain Community contact database 
  • Produce and distribute correspondence memos, letters, and forms
  • Manage Membership file (application and dues)
  • Develop and maintain a filing system
  • Assist with Sunday School Registration as needed
  • Assist Quran Blossoms with communications with parents as needed
  • Manage bulletin board
  • Assist the accountant with donations, pledge follow ups and thank you letters
  • Assist the communication director with the internal/external communication
  • Help with the annual fundraising dinner
  • Manage and update the committees list 
  • Ensuring office is stocked with necessary supplies 
  • Follow up with emails, letters, and phone call for late fees
  • Help with recruiting volunteers
  • Help facilitate all Mecca programs
  • Translator for staff and visitors
  • Receive, sort and distribute the mail

Qualifications:

  • Proficient computer skills, including Microsoft Office
  • Fluency in English and Arabic.
  • Strong verbal and written communication skills
  • Attention to detail and problem solving skills
  • Comfortable with routinely shifting demands
  • Working knowledge of general office equipment
  • Strong organizational skills with the ability to multi-task
